Transfer Coordinator 

 

Full Time: Monday-Friday 8am-4:30pm

 

Rogue Valley Manor is Southern Oregon's only Continuing Care Retirement Community (CCRC), and the longest standing accredited CCRC on the West Coast. Our Transfer Coordinator assists current residents with internal transfers to accommodations in either Independent Living (IL) or Residential Living (RL). Interfaces with and supports Sales and Marketing to ensure IL vacancies are minimized. Interfaces with and supports Resident Services to ensure that the process surrounding RL moves of need are seamless and offer as little impact to the resident as possible.

Responsibilities

  • Serves as initial point of inquiry for current independent living residents wishing to voluntarily transfer to a different accommodation (lateral moves, downsizes, etc.) Requires daily interface with sales team to manage available inventory.
  • Coordinates IL to RL moves once the Resident Services Director has triaged the needs and move requests of current residents requiring additional care.
  • Ensures all applicable transfer and moving policies are adhered to, properly communicated to the transferring resident, and appropriate credits or charges are issued.
  • Attends weekly Renovation meetings.
  • Serves as liaison for the renovation process of all transfers. This includes scheduling and attending walk-throughs to determine what will be included as part of a renovation, ensuring finish selections are made in a timely manner, coordinating outside contractors (interior designer, senior move manager) when necessary.
  • Provides weekly status on renovation progress for RL transfers to Residents Services; this information is then reported on at weekly Transfer Committee Meeting.
  • Coordinates packing/unpacking assistance for RL transfers.
  • Issues interdepartmental status reports.
  • Maintains master list of RL accommodations.
  • Manages parking and storage assignments for all residents
  • Serves as interface to Rogue Valley Manor Foundation and assists with ‘keys back’ process including inventory of accommodations.
  • Supports Sales & Resident Services departments with maintaining current photos, video walk-throughs, and floorplans/renderings of all accommodations.
  • Other duties as assigned by either the Sales Director and/or Resident Services Director

Qualifications

  • Must possess exceptional customer service skills and project management skills
  • Thorough knowledgeable of MS Office suite of products
  • Must be patient and flexible, and have the ability to relate well to the geriatric populations and/or those who may have some cognitive impairment
