Responsible for reception operations to ensure quality customer service for residents, prospective residents and the public. Provides supervision of the reception staff.
Monitors day-to-day operations to ensure quality customer service for residents, prospective residents and the public.
Maintains good employee relations, ensures a productive and efficient staff, interviews prospective employees, works with Human Resources Recruiter to hire. Trains new reception staff, schedules staff, prepares and fives employee performance appraisals, is responsible for employee counseling and disciplinary action.
Responsible to update reception policies and procedures in order to ensure efficient operation of front desk.
Provides service to residents and screens all visitors/public entering building.
Types bus lists for off campus events and distributes to resident in charge.
Answers phones and provides information to caller or directs call to appropriate staff of resident.
Distributes daily mail the mailman is unable to deliver, forwards mail when necessary, mails packages.
Receives and sends Federal Express and UPS packages. Notifies resident or staff. Records information. Tracks packages when necessary.
Makes out charge tickets, cashes checks and accepts monthly payments.
Send and receives faxed documents for residents. Records information.
Greets guests, completes guest room tickets, and updates guest book, makes and distributes copies of host lists for prospective residents and new residents
Checks guests into guest rooms and records information. Accepts and records payment.
Accepts payment for guest meals and records information.
Makes coffee for administrative staff and maintains a clean work area.
Orders all office supplies and keeps them stocked.
Assists Director of Resident Services as needed: i.e. resident handbook, directory, etc.
Provides and asks visitor to complete form for the Admissions Department.
Assists employees with meal tickets.
Updates resident status reports on database and hard copy.
Prepares computerized Away Lists for residents away, in the Health Center, or in the Hospital, and distributes to appropriate departments.
Responsible for all COSTCO annual memberships for residents and employees.
Knowledge of office operations including receptionist duties.
Knowledge of basic office equipment.
Must have supervisory skills.
Experience in dealing with public.
Must have a pleasant phone voice, be able to read, speak, write, and follow oral and written directions.
Must have intermediate typing and computer skills.
